Privacy Policy
Our Commitment to You
VC Partners LLP recognizes the importance of privacy and the sensitivity of information. We arecommitted to the protection of personal information collected, used or disclosed in the course of its business activities. VC Partners LLP will only collect, use or disclose personal information that is necessary for the purposes of serving our clients as agreed to in our terms of engagement.
Scope
VC Partners LLP Privacy Policy and commitment to you has been formed based on ten principles of privacy accountability as outlined by the Protection and Electronic Documents Act (“PIPEDA”).
Accountability
We have strict policies and procedures governing how we deal with your personal information. All of our employees are responsible for respecting and protecting the personal information to which the employee has access to.
Our Privacy Officer oversees privacy compliance including policy, dispute resolution, education, communication activities and reporting to our managing partner on privacy matters.
Identifying Purpose
When we collect information about you, we may use it to:
• provide normal ongoing client service;
• provide you with information you have requested from us; and
• comply with legal or regulatory requirements, or as otherwise permitted by law.
If a new purpose for using your personal information develops, we will identify that purpose and obtain your consent.
Consent
In obtaining your consent, we will always use reasonable efforts to ensure individuals are advised of the identified purposes for which any personal information collected will be used or disclosed.
Our accounting clients will be re-confirming their permission allowing VC Partners LLP to collect, use and disclose their personal information in accordance with the principles detailed in this privacy code each time they sign the engagement letter.
Please note that you cannot withdraw your consent to the collection, use and disclosure of your personal information if we are legally required to collect, use or disclose your personal information. Withdrawing your consent in certain situations may also mean that we may not be able to provide you with the services you request.
Limiting Collection
Our firm will only collect the personal information required to perform its professional services as outlined in the engagement letter. We may collect personal information about you from you and from third parties or sources that are available to the public to satisfy legal requirements or regulatory expectations or to manage our risk.
Limiting Use, Disclosure and Retention
It is our policy that personal information will not be used or disclosed for purposes other than for which it was collected, except with your consent or as permitted or required by law. Your personal information will be retained for as long as it is necessary to fulfill those purposes.
VC Partners LLP will not disclose personal information to anyone, including bankers, lawyers, tax authorities etc. without your consent. Once consent is obtained, we will deal only with the information required in the circumstances.
Accuracy
VC Partners LLP makes every effort to ensure that personal information collected is as accurate, complete, and up-to-date as is necessary for the purposes for which it was collected and to provide the required service.
If you have any questions about the accuracy and completeness of the personal information that we have collected or retained, please do not hesitate to contact our privacy officer. If you need to update some aspect of your personal information, please contact your partner representative directly.
Safeguards
We use physical, electronic and procedural safeguards to protect against unauthorized use, access, modification, destruction, disclosure, loss or theft of your personal information in our custody or control. These safeguards include passwords, locked cabinets, restricted access, alarm systems and security clearance.
All of our employees with access to personal information are required as a condition of their employment to respect the confidentiality of personal information and to sign specific agreements, confirming the confidentiality of client personal information.
Openness
The firm is open about the procedures it uses to manage personal information.
Up-to-date information on the firm’s privacy policy can be obtained from the firm’s Privacy Officer.
Individual Access
The firm responds on a timely basis to requests from clients about their personal information which the firm possesses or controls.
Individual clients of the firm have the right to contact the engagement partner in charge of providing service to them and obtain access to their personal information. Similarly, authorized officers or employees of organizations that are clients of the firm have the right to contact the engagement partner in charge of providing service to them and obtain access to personal information provided by that client. In certain situations, however, the firm may not be able to give clients access to all their personal information. The firm will explain the reasons why access must be denied and any recourse the client may have, except where prohibited by law.
Challenging Compliance
Clients may challenge the firm’s compliance with its Privacy Policy.
The firm has policies and procedures to receive, investigate, and respond to clients’ complaints and questions relating to privacy.
To challenge the firm’s compliance with its Privacy Policy, clients are asked to provide an email message or letter to the firm’s Privacy Officer (see contact information below). The firm’s Privacy Officer will ensure that a complete investigation of a client complaint is undertaken and will report the results of this investigation to the client, in most cases, within 30 days.
